By completing the volunteer registration form for this program, the applicant confirms that they have read and agree to the following regulations.
1. General Information
The volunteer program is organized by Asociația OMOTENASHI, in accordance with Romanian legislation regarding volunteering (Law no. 78/2014).
Volunteer activity involves participating in the organization and operation of the event on a voluntary basis, without receiving financial compensation.
Volunteers will carry out activities within departments established by the organizers and under the supervision of volunteer coordinators.
2. Participation Conditions
To participate in the volunteer program, applicants must:
complete the official registration form;
provide accurate and complete information;
be available during the event period;
respect the schedule established together with the organizers;
attend the training sessions organized prior to the event.
The organizers reserve the right to select volunteers and assign them to available departments according to the needs of the project.
3. Volunteers’ Rights
Volunteers have the following rights:
to carry out volunteer activities in accordance with their abilities and availability;
to be treated with respect and equality by organizers and other team members;
to receive guidance and support from coordinators;
to benefit from the training necessary to perform their tasks;
to receive a certificate or diploma confirming their volunteer activity;
to benefit from the protection of their personal data and confidentiality of the information provided.
To confirm that everyone has read this information, use the event year as the registration “keyword.” For volunteers who have previously participated in Comic Con, use the secret keyword.
4. Volunteers’ Responsibilities
By joining the program, the volunteer agrees:
to perform volunteer activities without requesting financial compensation;
to respect the established schedule and assigned tasks;
to fulfill the responsibilities within the department they are assigned to;
to participate in the training sessions organized by the coordination team;
to notify the organizers at least 48 hours in advance in case of unavailability;
to maintain the confidentiality of internal information related to the organizers and partners;
to protect the goods and equipment made available during activities;
to keep and properly use the volunteer badge received.
5. Code of Conduct
Volunteers must maintain respectful and professional behavior throughout the duration of their activities.
The following are strictly prohibited:
aggressive or disrespectful behavior;
discrimination based on race, ethnicity, religion, gender, sexual orientation, or political beliefs;
verbal or physical violence;
consumption of alcohol or illegal substances during volunteering activities;
sharing or disclosing internal information without the organizers’ consent.
Failure to comply with these rules may lead to removal from the volunteer program.
6. Organization of Activities
The organizers have the right:
to establish the structure of departments and volunteer schedules;
to reassign volunteers depending on project needs;
to monitor and evaluate volunteer activity;
to terminate collaboration with volunteers who fail to comply with the regulations or instructions provided.
7. Personal Data Protection
Personal data provided through the registration form will be collected and processed by **Asociația OMOTENASHI in accordance with Regulation (EU) 2016/679 (GDPR) and applicable national legislation.
This data will be used exclusively for organizing and managing the volunteer program.
8. Image Rights
By participating in the volunteer program, volunteers agree that the organizers may use photos, video, or audio materials recorded during activities for the promotion of the event and related projects.
These materials will not be sold or transferred to third parties without the explicit consent of the individuals involved.
9. Termination of Participation
Participation in the volunteer program may end:
at the volunteer’s request;
by the organizers’ decision in case of violation of the regulations;
by mutual agreement of both parties.
